In 2007, there wasn’t much choice for a web-based project manager software. ActiveCollab was the only web-based project management software that you could host. ActiveCollab was the only one that allowed me to own the data, rather than renting it from someone else and locking myself in. I was already four years into my career as a web developer and was currently doing contract work. I needed a way of managing basic projects: break down a project into manageable pieces.

ActiveCollab was the right tool for me at that time and still is. It was written in PHP and runs on shared hosting. Today, there are many VPS hosts available, so it will run on them. I have been following ActiveCollab since its early days. This was before they launched the A51 company and commercialized the product. The most used feature in ActiveCollab is Tasks. In other tools, they are sometimes called Tickets or Stories. They can be easily assigned to different people, tracked time and commented on. It makes collaboration simple. Sometimes, we will group Tasks under a Milestone. The 4.x version has some subtle differences. When you create a new ticket you can choose who it is assigned to by clicking their name instead of the checkbox. Clicking on the checkbox adds the person to your watch list. This was useful when we needed to add multiple people to a Task. It’s a great place to store all files related to the project. Text Documents under Files is another option we like because it makes it easy to track changes to the document. ActiveCollab’s Files can be used to store different versions of the same document. It acts as a version control system or a basic Wiki for text documents. It can be used to store documents, free up space on your Dropbox or Google Drive, and to keep copies of graphic files you might need later. ActiveCollab is like Github for your graphic files. We are excited to upgrade to the new version. It seems like a significant upgrade in features, and usability. A51 clearly spent a lot time on the UX and has made the core features more user-friendly. We are eager to use the All-in one calendar to keep track of all the upcoming projects.
